Explore your next role:

As a key member of the Human Resources team, the Human Resources Coordinator will report to HR Manager, and is the first point of contact for new hires, and is responsible for providing administrative support as it relates to training, UKG, HR Systems, employee relations, employee engagement, and human resource projects.

This is a hybrid opportunity based out in North Bay, Ontario.

Training Administration:

  • Determine and verify employee training requirements with departmental management.
  • Coordinate training for employees with appropriate department training personnel and create and issue training schedules for classroom-based training.
  • Verify employee training requirements and assign electronic training and testing to employees.
  • Update and maintain electronic employee training files, databases, and other documentation (i.e., training matrices).
  • In collaboration with the HR team, develop, implement, and administer new employee orientations.
  • Identify and investigate issues arising with training software/programs or files, conduct audits, and advise appropriate personnel of any discrepancies or inconsistencies of available documentation/information.
  • Advise and liaise with management and employees on a variety of matters related to training requirements, new training programs, processes, and procedures.
  • Post-secondary education in administration, business, or similar considered an asset.
  • Proven interpersonal and networking skills.
  • Tender preparation to the industry standard.
  • Knowledge of company policies, procedures, and documentation.
  • Limited knowledge of aviation regulations as it relates to training and documentation requirements.
  • Computer proficiency with Microsoft Suite, UKG HRIS and ATS solutions, and quick to learn new technology (i.e., systems/platforms).
  • Excellent written and verbal communication skills.
  • Organizational skills.

UKG Experience:

  • Responsible for HRIS employee onboarding, entries, changes as required, and terminations
  • Responsible to ensure all documents in the administrative context of UKG are updated and uploaded as required
  • Act as point of inquiry and SME for employee questions and/or assistance
  • Work in conjunction with HR leadership to continue implementation and administration of additional modules
  • Develop and implement processes for all UKG modules
  • Develop and present UKG training to new and existing employees

Human Resources Administration:

  • Conduct Orientations for new employees both in person and remotely
  • Generate reports, compile data, conduct research, create, and issue employee letters.
  • Provide assistance, information, or other support to managers and employees on various matters as required.
  • Create and update Human Resources documentation including policies, procedures, forms, etc.
  • Compile employee data, prepare and submit annual narrative report, and develop initiatives as it relates to Employment Equity program.
  • Assist in completion of required federal and provincial reporting requirements; research, gathering support documents, tracking, spreadsheets etc.
  • Coordinate random alcohol testing and immunization appointments for staff as required.
  • Ensure the security and confidentiality of all employee records.
  • Provide administrative assistance to Director, HR; Manager, HR; and Manager, Corporate Development.
  • Coordinate and support Voyageur and Corporate Diversity initiatives (e.g., employee equity, employee resource group, diversity communications, etc.).
  • Coordinate Human Resource activities and events.
  • Manage HR SharePoint site.
  • Create, coordinate, and distribute company-wide communications such as Voyageur Voices, Diversity newsletters, surveys, etc.
  • Support recruitment team by attending career fairs when required
  • Responsible for administration of Pathways program.
  • Photocopying, filing, and distributing human resources materials, and performing other tasks as required.

Your Distinctive Ingredients for Success:

  • Experience working in Human Resources. 
  • Post-secondary education in Human Resources or a related field is an asset. 
  • Excellent communication skills, both verbal and written.  
  • Proven time management skills and the ability to multitask. 
  • Complete tasks accurately and efficiently with high attention to detail.  
  • Demonstrated problem-solving skills and ability to identify solutions.  
  • Strong computer skills, particularly with Microsoft Office.  
  • Capable of working under pressure with tight deadlines.
